Who is responsible?

Defne Behar is responsible for the use of your enquiry and practice administration details. You can contact me about privacy at behardefne@gmail.com or through the practice at Healing Hub Amsterdam, Van Speijkstraat 37-H, 1057 GK Amsterdam, the Netherlands.

What the form collects

The form asks for the name and age of the person seeking therapy, a telephone or WhatsApp number, whether the enquiry is for yourself or your child, preferred language, session format and availability for an introductory call. Email address, pronouns and weekly session availability are optional. If the person is under 18, the form also requires a parent or guardian’s name, email address and telephone number.

A request reference, received time, privacy notice version and administrative follow-up statuses are recorded. Required-field checks can flag details for manual review. They do not verify your identity, determine eligibility for care or make clinical decisions.

Why these details are used

I use your details to respond to your request, arrange a first conversation and discuss possible sessions. If we decide to work together, relevant contact and scheduling details are used for appointment administration. These are steps requested by you before entering an arrangement, and administration of that arrangement when it begins. Website security checks help prevent automated abuse.

This contact form is not a clinical intake or therapy record. Any additional information needed for therapy, the relevant care and confidentiality arrangements, and the retention of a clinical record will be discussed separately. The privacy acknowledgement does not replace the professional consent process. Parent or guardian contact fields do not by themselves establish consent or legal guardianship.

Where the information goes

Cloudflare hosts the website and processes the form through its server infrastructure and Turnstile security check. The submitted administrative details are saved in a restricted Google Sheet using Google Apps Script. A notification is sent to my Gmail address with a request reference and a link to the private sheet; the notification does not include the submitted contact or therapy details.

I can access the practice sheet. During the initial technical setup, my website administrator also has access to maintain the system. It is not a public spreadsheet. Google and Cloudflare also process technical information, such as network and security data, to operate their services. Their infrastructure may process information outside the European Economic Area; this website does not promise EU-only storage.

How long it is kept

Enquiries that do not lead to sessions, and their notification emails, are deleted within 90 days of receipt. If we agree to work together, the necessary administrative contact and scheduling information is kept separately from the therapy record. I will explain the applicable care-record and ongoing administration arrangements directly; the 90-day enquiry period is not a clinical-record retention period. Service backup and version-history copies may remain temporarily under the providers’ recovery policies.

Your choices and rights

You can ask to access, correct or delete your enquiry details, or ask about restricting or objecting to their use and data portability where these rights apply. Contact behardefne@gmail.com. I may need to confirm your identity before responding. You can also raise a concern with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Cookies and urgent contact

This website does not add analytics or advertising trackers. The form uses Cloudflare Turnstile for security. Your form details are not saved in browser local storage, session storage or URLs. Technical service processing may still occur as described above.

The website form is for arranging contact and is not monitored as an emergency service. Please do not use it to request urgent help.
